End-of-Year Checklist

The residence halls will close at 5 p.m. on FRIDAY, MAY 3, 2024.

All students must be out of the building unless you are approved for extended stay housing. All residents are asked to leave 24 hours after their last final or by 5 p.m., May 3, whatever comes first. If there is an issue or conflict, please speak with your hall staff.

RAs will host floor meetings the last two weeks of April to discuss all the details of closing, including how to prepare your room and how to check out of your space properly.

If you did not attend one of these meetings, please speak with your RA so you can learn this important information.

 

FINALS AND 24-HOUR QUIET HOURS

To create a positive study environment, 24-hour quiet hours begin at 12:01 a.m. Sunday, April 28, and last until residence halls close. "Loud hour" is from 6-7 p.m. each day.

 

EXTENDED STAY HOUSING

All students are expected to vacate their university housing by 5 p.m. Friday, May 3. Students who meet the following criteria may complete a Request for Extended Stay Housing in the Office of Residence Life, Suite 222 of the Avera Student Center.

  • International students 
  • NSU athletes competing in a season sport 
  • Current senior graduating in May 2024
  • Sibling of a graduating senior who also attend Northern
  • Students participating in graduation ceremonies (choral, band, orchestra, ushers, etc.) 
  • Students registered for Summer Session I, who are staying in university-owned summer housing 

 

Students ARE NOT automatically eligible for extended stay housing if they hold an on- or off-campus job that is not directly associated with a credit-bearing academic program. 

If you do not meet any of the above criteria for extended stay housing, you may submit a request based on an “Other” type of reason, however there is no guarantee that we will be able to accommodate your request.  

PLEASE NOTE:  There is a nightly charge for extended stay housing.  The rate is based on your current housing assignment. Graduating seniors will not be charged for the evening of May 3; however, should they wish to stay past that night they will be charged. 

 

CHECKING OUT 

All students not approved for extended stay housing must schedule an appointment with a resident assistant in their building. Schedules will be posted on each RA’s door by Wednesday, April 24, 2024. 

 

Traditional Check Out Process 

Please sign up for checkout at least 24 hours in advance, as we need time to coordinate with the RA staff. 

  • The RA will meet you outside of your room during your selected time. 
  • At your appointment time you will have all items removed from your room, your space cleaned and move in ready, and keys ready when you meet the RA. 
  • The RA will check the space, note any damage, and check the space with you. They will collect your keys and test it and you are then allowed to leave. 
  • After closing, any damages will be assessed by the Office of Residence Life. 
  • If you are not ready by the time you signed up for, you will lose your check-out time and will need to sign up for another date and time. If you choose to leave without completing the check-out process, there will be a $50 fee. 

 

ROOM CLEANING 

Rooms must look exactly as they looked when you came in: move-in ready. Clean your room and return it to its original condition when you moved in. Return furniture to the original configuration. All beds should be set with the bed frame in the 3rd rung from the top (you should be able to see the top two rungs). Loft kits must be unassembled.

RAs and/or the front desks have cleaning supplies and vacuums you can check out. Please clean vacuums before returning them to an RA. 

 

Suite/Semi-Suite 

Entire suite/Semi-Suite 

  • Clean your room and return it to original move-in-ready condition.
  • Return furniture to the original configuration. 
  • Remove adhesives from all surfaces. All posters, pictures, decorations, and adhesives removed from the walls and doors. Remove poster putty from walls; door decs down; check every drawer/shelf, etc.
  • Defrost and clean microfidges (Kramer Hall) 
  • Vacuum and clean carpet, sweep and mop hard floors
  • Empty all trash cans by taking to the appropriate trash receptacle
  • Shut and lock windows
  • Shut blinds and drapes 
  • Turn off lights
  • Close and lock door

Living Area 

  • All upholstered furniture vacuumed and spot cleaned 
  • All surfaces wiped down

Bedrooms and Bathrooms 

  • All drawers, closets and medicine cabinets checked and cleaned 
  • All surfaces cleaned and sanitized including sink, faucet, and mirror, adhesive removed
  • Shower and toilet cleaned and sanitized

 

Residence Hall Rooms

  • Remove all personal belongings from room 
  • Return all room furniture to its original position
  • If your chair was removed from the room, it MUST be put back in your room – you cannot say you placed it somewhere else in the building
  • Return beds to their original height, which is on the third post from the top
  • Remove adhesives from ALL surfaces
  • Wipe down and clean all surfaces (desks, dresser, mirrors, sink, etc.)
  • Remove poster putty from walls, decorations from doors; check every drawer/shelf, etc. 
  • Check and clean all drawers and closets
  • Vacuum and clean carpet, sweep and mop hard floors
  • Empty all trash cans by taking to the appropriate trash receptacle
  • Shut and lock windows
  • Shut blinds and drapes 
  • Turn off lights
  • Close and lock door

 

COMMUNITY SPACES 

Hallway outside of Room 

  • Do not sweep room out into the hallway   
  • Do not leave trash outside in the hallway; this area must remain clear of debris

Kitchens 

  • Remove all food from common area cupboards and fridges
  • Remove all personal utensils and cookware from common areas

Bike Racks 

Take bikes, scooters and other modes of transportation home for the summer. Leaving items on the racks will result in their removal. 

 

ROOM CHARGES 

There is a $25 late fee for the following: 

  • Signing up for a checkout less than 24 hours in advance 
  • Failure to show up at your scheduled check out  

There is a fee for the following: 

  • Trash found in community spaces. This will be charged to the resident responsible. Please take trash to the trash receptacle. 
  • Unclean room – not left in move-in-ready condition (the room needs to look as it did when you moved in) 
  • Not returning your bed to its designated height and/or room to the original layout
  • Wall damage
  • Remember to return your key. Room keys - $25  

 

Common Area Damages and Fines

If we are unable to determine a responsible party for damage done to a community area, after outreach to the community the community will be billed for the damage per the Residence Hall Handbook. 

 

DONATION of items 

Donation bins will be available at a designated location within your residence hall. Have something that you were planning to throw away? Try donating it!
